Booking an Event

Before planning your event, you must make a room reservation with the Events Office (3421). Please make every effort to reserve your room well in advance. If guests counts or set-up arrangements change you must inform the Events Office.

Bowdoin Dining Service is the exclusive caterer for all catering events on campus with the exception of events held in Cram Alumni House.

If function spaces within the dining halls (North and South Dining Rooms at Moulton Union; Pinette, Hutchinson and Daggett Lounge at Thorne Hall) are used for meetings or catered events during scheduled meal hours, all guests will be considered to be eating and must be accounted for through a form of payment: cash, board plan, Polar Plus, or department charge.

After reserving the room, contact Dining Service (3211 or 3181) if you wish to have food or beverage service for your event. Please have the following information ready:

  • Name of your department or organization
  • Location, date, and time of event
  • Estimated number of guests attending
  • Style of service: buffet or served
  • Project number to be charged

We are happy to customize menus to your individual taste and needs.  Premium products and services are available at market prices.

The following notification time is needed to book your event.

One month: for complex events with special needs, and events requiring alcohol

Two weeks: for basic events with standard menu and service requirements, or events requiring waitstaff

One week: for coffee and beverage breaks, dining hall through-the-line meals for 10 or more, athletic pick ups

No Notice Needed: for dining hall through-the-line meals for less than 10
