Bowdoin OneCard Terms and Conditions
The Bowdoin OneCard (“OneCard”) is the official identification card for eligible members of the Bowdoin College (“the College”) community, including all students, faculty, and staff (“Cardholders”).
The OneCard uniquely identifies the Cardholder named on the OneCard. A OneCard may contain one or more unique identifiers, including embedded technology and a printed ID number. These identify the individual Cardholder across College systems, and may not be duplicated or shared except with College officials.
A Cardholder’s relationship to the College, both with respect to role and current status, determines eligibility for a OneCard and for any associated privileges, including but not limited to door access, meal plans and financial accounts, printing, and library services.
All privileges associated with an individual OneCard are for the use of the Cardholder only, and are non-Transferable. In the case of a meal plan or financial account that permits multiple transactions – using a second meal swipe for a guest, e.g. - the Cardholder must be present to authorize the transaction.
OneCards are the property of the College and must be shown or surrendered at the request of an appropriate College official.
Found OneCards should be immediately returned to the Bowdoin OneCard Office and not held by individuals or departments.
An individual may not possess more than one active OneCard at any given time. When a OneCard replacement is issued to address card wear or functionality, the OneCard Office will reclaim the old OneCard. When a replacement for a lost OneCard is issued, the previous OneCard will be permanently disabled and cannot be reactivated.
Lost OneCards, if not being immediately replaced, should be deactivated through the Bowdoin OneCard Web Center, or by calling Bowdoin College Safety and Security’s non-emergency line. This deactivation can be reversed if the missing OneCard is located prior to a replacement OneCard being issued.
Stolen or fraudulent use of a OneCard should be reported to Bowdoin College Safety and Security. Unauthorized and/or fraudulent use of a OneCard may result in OneCard confiscation, temporary deactivation, restriction of privileges, and/or disciplinary action.
Access
OneCards are configured with access permissions to various campus buildings and individual rooms based on a Cardholder’s roles and status with the College, including but not limited to: active enrollment or employment status; valid semester or break housing assignment; current semester class enrollment; or active club or team roster membership.
Card access for individual Cardholders is assigned or revoked by Onecard staff at the direction of various departments who may authorize Cardholder access to individual spaces based on their own department’s policies.
Student OneCard Account
The Student OneCard Account is a stored value account available for all student Cardholders. All student OneCards are configured with the account available; no additional steps are required to enroll or create the OneCard Account. The OneCard Account can be used on campus once funds are deposited into it. Funds can be deposited at the OneCard office via cash or check, or online through Workday via debit/credit card or bank info.
OneCard Account balances do not accrue interest. Funds deposited in a Cardholder’s OneCard Account do not expire. OneCard Account funds cannot be withdrawn as cash. Upon written request from the Cardholder, or separation from the College, OneCard Account balances will be refunded to the Cardholder as a credit amount sent to the Bursar or as a direct deposit. The Cardholder may be required to fill out appropriate forms with Accounts Payable to receive their OneCard Account balance as a direct deposit.
OneCard Account information, including balance and transaction history, is only available to the Cardholder.
Bowdoin Dining Plans
Food plans, Polar Points, and Declining Balance plans are available to student Cardholders, and include meal plans and stored value-type accounts. They are governed by Bowdoin Dining Policies, available online at https://www.bowdoin.edu/dining/board-plans/index.html
Polar Plus
The Polar Plus account is a charge account available to active, benefits-eligible faculty and staff. Terms and conditions, and enrollment, are governed by Human Resources policies and are available online at https://www.bowdoin.edu/hr/our-workplace/onecard-and-polar-plus.html
