Event Technology Services

Event Technology Services (ETS) supports technology for College events and is available to Faculty, Staff, Students.

Request technology for your event

  1. Please reference the Event Space Database before requesting an event space for best results.
  2. Fill out the Event Technology Request Form so that we have all the details for supporting your event.

Scheduling procedures

  • All ETS requests must be submitted no later than two weeks before your event. This allows us to adequately schedule the best possible staff for your events needs.
  • You must submit the correct event start time. Based on your start time, ETS will assess the time to arrive and set up the equipment for your event.
  • If you do not arrive within thirty-minutes past your scheduled start time, without notice of a change, we will consider your event cancelled.
  • If your event is cancelled same day or through a no-show (with the exception of weather emergencies) we will charge the provided cost center for the labor assigned to your event

We will always do our best to accommodate requests, however, there are times we may not be able to do this outside of these guidelines

Take into account electrical needs and contact the electric shop to provide power for outside events.

An A’la Carte menu of available AV equipment is available below and in the ETS handbook. You can add any of this equipment to any event space. ETS staff will make every effort to consult and make this equipment available to you and provide alternative options if available.

Self-service spaces on campus

  • All requests occurring in spaces that are set up to be self-service where you can walk in and use the technology (classroom spaces for example) will only be staffed as we are able.
  • We will accept your ETS request submission, however, we will not be able to confirm staffing until seven days before your event.
  • If staffing is not available for your request, we will make time available to review the technology in the space and train you how to use it.

What to expect after submitting an Event Technical Services request form

  • You will receive an automated email listing your event as: “In Process” after we have reviewed your request.
  • The status of your ETS request will change to  “Appointment Scheduled” when it has been added to the ETS schedule.
  • ETS will be in communication with the event organizer leading up to the date of your event. If you have any media that you would like for us to present for your event you can send all files to our email eventtechservices@bowdoin.edu.
  • Obtaining and delivering materials from presenters is the responsibility of the event organizer, ETS can create a folder that presenters can upload materials too if an email address of the presenter is provided. Once we receive all media ETS will keep a copy until the end of your event.
  • If you would like to review specific details of your event we are available to meet ahead of time to review technical capabilities and walk event spaces.
