Service Provider Announcement
End of semester campus service provider announcement, April 1st, 2026.
As we head into the final stretch of the academic year, campus service providers (including Dining/Catering, Event Setups, Event Technology, and Facilities), will be supporting a high volume of requests related to finals, award events, end-of-year programs, senior celebrations, commencement activities, and reunion activities (just to name a few).
Because of this, service availability will be limited, and turnaround times may be longer than usual. We want to support as many campus needs as possible, and your thoughtfulness can make a real difference. Please keep the guidance below in mind as you prepare for the end of the semester:
Events and Scheduling:
- Please submit event and scheduling requests as early as possible. The earlier we receive your request, the more likely we can accommodate your preferred date, time, and location.

Use self-service spaces whenever possible. Many campus spaces are entirely self-service and don't require support from service providers. For example, most classrooms allow you to use in-room technology without assistance from Event Tech Services. If you need help identifying an appropriate space, the Campus Scheduler can assist: scheduling@bowdoin.edu
- From mid-May to early June, most event requests that require setups and/or catering will be denied unless they are directly related to Commencement or Reunion activities.
Dining and Catering:
- Choose buffet style service when possible. Buffets are generally easier to staff, more cost effective than plated service, and allows guests to choose their own meals (win, win, win!)
- Consider using a private dining room instead of an event space. Rooms such as Hutchinson, Pinette, and Mitchell North don't require setup support and allow your participants to enjoy the bounty of options available through the line at Thorne Dining Hall.
Facilities
- Be flexible with timing. If your facilities request can be completed within a date range, rather than on a specific date and time, please note that in your request. Flexibility can help facilities staff to manage their time and work more efficiently.
- Consider the urgency. During peak times, facilities staff must prioritize essential work. Before submitting a request, please consider whether it is urgent (needs addressing immediately) or is a "nice-to-have" improvement.
