Registered Faculty and Staff Groups

Bowdoin College knows that robust faculty and staff engagement is important to foster an enriching educational environment. Certain faculty and staff groups are required to complete a registration form that identifies a minimum of two group leaders. Completing this form enables groups to reserve space, use equipment, and post notices and facilitates the ability of the College to communicate with groups.

Groups Exempt from Completing Registration

Faculty and staff groups that form through academic or administrative departments, programs, or offices or that are academic in nature (for example, reading groups, writing groups, professional development cohorts, or research collectives) do not need to complete the College’s registration process.

Individuals in these groups may reserve rooms through their department and put up posters in the individuals’ own names or in the name of their department so long as they follow the Publicity, Outside Organizations, and Solicitation on Campus Policy.

Groups That Must Complete Registration

Groups of faculty and staff that wish to access the following College benefits are required to complete the registration process:

(1) Use of the College’s name in the group name or in any social media handle; and/or

(2) The ability to poster in the group’s name on campus without identifying a sponsoring department, program, office, or individual who is a current employee of the College; and/or

(3) The ability to host meetings or events that are open to the public on Bowdoin’s campus without department, program, or office affiliation.

Registration Guidelines

Faculty and staff groups must identify, at minimum, two members of the group who will serve as points of contact for the College.

Faculty and staff groups must then submit a form to Human Resources that designates these individuals. Human Resources will review to make sure the form is complete. The form must be updated whenever the points of contact change. The College will not consider the viewpoint expressed by a group in determining whether a registration form is complete, or in following up on any concerns that a group has not followed College policies.

Faculty and staff group registration does not provide college funding or access to other resources such as use of college vehicles, set-ups, college email accounts, college websites, or use of Bowdoin marks (e.g., seal (sun), wordmark, and/or Polar Bear logo(s)).

Community Expectations and Accountability

Faculty and staff groups may not discriminate on the basis of any legally protected characteristic.

All groups are expected to follow the College’s policies. Faculty and staff members are accountable for this policy as they are with other college policies.
