Identification Cards

Purpose: The Bowdoin College ID card policy establishes responsibility for determining and implementing external access controls to any and all College buildings and facilities. This controlled access enhances the safety of all members of the College community and ensures the security of College and personal property.

Students and employees should not lend their ID cards to others. Lost or stolen cards should be reported immediately to Security and the OneCard Office. A card may be re-issued for a $15 fee. Employees are required to return identification cards and any other College property when they leave College employment.

STUDENTS
Current students have personal ID cards with their name, photo, date of birth, and Bowdoin College ID number in order to access their residence halls, athletic facilities, and appropriate classroom and lab space. The Office of the Registrar is responsible for identification/authentication of all currently enrolled students authorized to have a card.

FACULTY/STAFF
Current regular faculty and staff have personal ID cards with their name, photo, and Bowdoin College ID number in order to access their office space within buildings, library, and athletic facilities. Human Resources is responsible for identification/authorization of card issue for all current faculty and staff.

CASUALS
Casual employees may require Bowdoin ID cards for a variety of reasons including: identification, building or office access, and time clock records.

Some casual employees who have short terms of employment (e.g., bartenders or casual wait staff) may not be issued personal ID cards, but may occasionally use departmental access cards. Some casual employees associated within a College special program may have specific ID card needs.

Depending on their job descriptions, casuals may also require access to email. Casual employees who work as coaches, work with minor children, need after hour offline/networked door access will receive a personal photo ID card.

Human Resources is responsible for and must approve all requests for a casual employee to have a personal ID card. If, after the original date of hire, the need for a personal ID card becomes apparent, supervisors may contact Human Resources to request an ID card for a casual employee. The employment end date for most casuals will be embedded in the card and access should automatically end at midnight on the termination date.

RETIREES
Employees retiring from the College should surrender their Faculty/Staff ID cards on the last day worked. Retirees who decide to purchase an annual athletics facilities user pass will be issued a new photo ID. Retirees are also eligible to contact the Library to arrange for a complimentary library card with lending privileges.

EMERITI
Employees retiring from the College with emeritus status should surrender their Faculty/Staff ID cards to the OneCard Office on the last day worked. Each emeritus(a) of the College will then be issued a new photo ID card entitling him/her to use of the athletics facilities and Library. The spouse/partner of an emeritus(a) is also eligible for an Athletics Facilities User ID card at no charge.
