Get Ready for Student Finance in July 2025!

By Workday Project Team

Beginning July 2025, Bowdoin will go live with Workday for Student Financials. Students who receive financial support from others should take action now to set them up for access to billing in Workday. To authorize parents and others for billing access, or access to your class schedule, students must take three separate and distinct steps in Workday:

  1. Add them as a Friends and Family member. If they are currently listed, but are listed with a relationship type of "other," please update their relationship to one that is the most accurate. If none of the listed options apply, choose "other."
    1. Even if you don't plan to allow your Friends and Family member/Emergency Contact to view your billing information, pay bills on your behalf, or see academic information, update their information to ensure we have their email address, phone number, and address.
  2. Ensure that your Friends and Family member's contact information is up to date. The email you enter for them is where their login credentials will be sent.
  3. Identify that person as a Third-Party User.
  4. Assign them specific permissions to billing and payment or academic information as you wish.

Timeline

Beginning July 2025, Billing notifications for the Fall 2025 semester will be sent during the second week of July and will be due on August 11th, 2025. Only those Friends and Family identified as Third-Party Users and assigned billing permissions will have access to make online payments and set up payment plans.

What Students Can Do Now

  • Review your Friends and Family members in Workday. Remember, simply being identiefied as a Friends and Family Member or a Third-Party User is not enough for them to see the student's billing account or make payments. Be sure to take action to assign them permissions. Billing permissions include Make a Payment, View Account Activity, and View Student Statement.
  • To assist students in this important set up, we have a Third Party Permissions job aid and a Third Party Permissions video available on the Workday Support website. Please review these helpful resources to guide you.

What Third Party Users Can Do Now

  • Ask your student if they have taken action to update your contact information and give you permissions to view and make payments on their student financial account in Workday.
  • Review the job aids we have made available for Third Party Users on logging in to Workday and navigating your student's financial and academic records, depending on the permissions you have been granted.
  • Remember that until your student takes action in Workday you will not be able to view bills or make payments. Only your student can take the actions needed to authorize you to view their records.
  • Attend Training! Bowdoin will offer virtual training on Navigating Workday for Third Parties. View upcoming training offerings here - just scroll down to the Training for Friends and Family section to view your options and sign up.
