Air Conditioners

Purchases of air conditioners are discouraged.  If your department needs to purchase a window air conditioner, please adhere to the following guidelines:

1.    Obtain permission from your senior officer to make the purchase.
2.    Contact facilities to determine the appropriate size of unit your space requires.  Also, ask facilities to review the wiring to ensure the unit will not overload the electrical system.
3.    Always buy an energy star rated unit utilizing the approved vendor list to be provided by Facilities Management.
4.    Purchase one of the units listed below in the size approved for your space.

Appliances

When purchasing new appliances always purchase energy star rated appliances to conserve energy.  It may be advisable to consult with facilities management to evaluate your work area to ensure the appliance you desire is appropriate and will not overload the electrical system.  

Gediman’s, Inc.

Business Interiors offers many lines of furniture.  Steelcase is ideal for academic spaces on campus and Business Interiors has developed a standards catalog for Bowdoin College. Office Supplies

Officemax

The College maintains a comprehensive relationship with Officemax for the provision of office supplies.  Faculty and staff should purchase office supplies from Officemax through their department’s designated office supply buyer.  

Officemax offers deep discounts and other incentives to the college.  By consolidating our purchases with one vendor we are able to achieve substantial savings.  Another advantage with Officemax is delivery to your office.  

Staples

The College discourages purchases at Staples.  However, if you have an immediate need that can not wait until the next Officemax delivery, you may purchase at Staples in Brunswick.  When purchasing at Staples please inform the cashier that you are making a tax exempt purchase.  The College’s tax exempt customer number at Staples is 3912395492.

Purchases should be limited to those items that are needed the same day.

Periodicals and Subscriptions

The Bowdoin Library offers access to many periodicals on line for free.  Before you order your periodicals and subscriptions please contact the library reference desk at extension 3227.  You may also search for your item by visiting http://library.bowdoin.edu/. Here you may search by journal name and, if available, print those articles you are interested to read.  It is a great way to save money and positively impact the environment.

Lodging

Bowdoin College has negotiated rates for accommodations for guests visiting the College.  The rates have been negotiated to apply when Bowdoin is being charged directly by the vendor.  Please use these discounts when you have a guest lecturer, job candidate, or vendor visit the campus.

Brunswick Inn on Park Row

The Brunswick Bed and Breakfast located at 165 Park Row offers the College a discount rate of $115 per night, subject to availability.  Additional rates are available for non-traditional rooms.  For reservations, please call 729-4914 and identify the use as a Bowdoin business visitor.

Brunswick Comfort Inn

The Comfort Inn located at 199 Pleasant Street offers Bowdoin College 15% off their nightly rate when the room will be billed directly to the College.  To reserve a room, call 729-1129 and request the Bowdoin Direct Bill rate.  Please remember to mention that Bowdoin College is tax exempt.  

Brunswick Fairfield Inn and Suites

The Fairfield Inn and Suites, located at 36 Old Portland Road in Brunswick, offers the following rates for a traditional room booked as a direct bill to the College:

May 26th - October 30th        $99 Traditional Room Direct Bill
October 31st – May 25th        $69 Traditional Room Direct Bill

Under certain circumstances, a lower rate may be negotiated depending on length of stay.  To reserve a room, call 721-0300 and remember to tell them you are would like a traditional room to be direct billed to the College.

Captain Daniel Stone Inn

The Captain Daniel Stone Inn located at 10 Water Street offers the College discount rates, subject to availability as listed below.  For reservations please call 373-1824 and identify you would like the Bowdoin Rate.

Automobile Rentals

The College has negotiated rates with two large rental car companies.  If your trip is local please use Enterprise Rent-A-Car. 

Enterprise Rent-A-Car

Enterprise Rent-A-Car provides vehicles for business use. The College's negotiated rates are available for employees to use when conducting college business. If you wish to book a rental on-line, please visit www.enterprise.com. Enter the desired location, dates and type of vehicle you wish to rent. Enter Bowdoin's Corporate ID number where it asks for Corporate Account Number, the ID number is G49051. Once you hit enter, it will ask you to enter the first three letters of the account name, BOW. Once you enter the site, you will see Bowdoin College listed at the top of the page. The rates you are viewing may not be the discounted rates. You should contact the Enterprise Rental Office from which you are renting the vehicle to confirm discount amount.

Hertz

Bowdoin Employees are eligible to receive a discount rental rate for Hertz rentals. The Hertz Discount may be utilized by calling 1-800-654-2210.  When speaking with the Hertz agent please tell them you have a CDP number which is 1703038. Your affiliation is Bowdoin College.

Travel Services

The College uses two primary travel agents to book business travel for faculty and staff.  Each of these companies is a full service travel agent with 24 hour assistance offered to college travelers.

Hewins Travel

Hewins Travel located in Brunswick is available to provide agent assisted bookings for college travelers.  To utilize the service please call 729-6261 and select option 1.  When calling Hewins Travel you will be asked to provide the purpose of your trip and the six digit project number you wish to use to pay for your travel arrangements.  

The booking fee for a standard ticket is $32.00.  This fee will be separately charged to the project number you provided when you booked your ticket.

American Express Business Travel

American Express Business Travel is the largest full service travel agency in the United States providing 24 hour service to its customers.  To utilize the service please call 1-800-327-2737.  Identify yourself as an employee of Bowdoin College.  When booking your travel you will be asked for the six digit project number you wish to use to pay for your travel arrangements.

The booking fee for a standard ticked is $22.00.  This fee will be separately charged to the project number you provided when you booked your ticket.

AXIOM – American Express Business Travel Online Tool

For those travelers who prefer to book travel online American Express offers AXIOM.  To use AXIOM please contact Jim Kelley in the Treasurer’s Office, jkelley@bowdoin.edu, to request access.   The booking fee for a standard ticket is $7.00.  This fee will be separately charged to the project number you provided when you booked your ticket.

Paint and Related Supplies

Sherwin Williams located at 179 Pleasant Street in Brunswick offers discounted pricing to Bowdoin College.  Discounts are extended on certain paint products and other miscellaneous supplies.  In order to take advantage of the discounted price please be sure to identify yourself as a Bowdoin employee and ask the cashier for the Bowdoin discount.  Purchase orders are encouraged.

Printers/Photocopiers/Fax Machines

Purchases of printers, photocopiers and fax machines should be coordinated by Information Technology or Campus Services.  The purchase of “slave printers” for individual use must be approved by Information Technology and the purchase must be made by Sarah Morgan, Technical Purchasing Manager in IT. 

Photocopiers, Fax Machines and Multipurpose Units are purchased by Chris Taylor, Assistant Director of Campus Services.  Campus Services will evaluate your needs and make appropriate recommendations.

Shipping and Mail Services

The College has a comprehensive agreement with FedEx providing discounted rates for various services. Some mailings may be less expensive to ship via UPS or U. S. Postal Service.  Please contact Campus Services at extension 3302 to identify the most cost efficient method of shipping your packages.

Water – Bottled/Filtration Systems   

Fred’s Coffee

Fred’s Coffee provides water filtration systems to the College at discounted rates.  The filtration units offer both hot and cold water through a stand alone unit that filters tap water.  If your department has a traditional bottled water cooler and it uses more than 4 bottles of water per month, you would save money by installing a water filtration unit.  The units are fully maintained by Fred’s Coffee including automatic filter replacements and cleanings on a regular schedule.

Hardware and Maintenance Supplies

Downeast Building Supply

Downeast Building Supply offers the College a 10% discount on most purchases at the building supply store.  The most efficient way to obtain the discount is by using a College purchase order.  You will not receive the 10% discount at the time of the sale.  Rather, the discount is automatically calculated by the College’s accounting system when the invoice is paid.  The full charge of the item will be charged to your project account and then a purchase discount will be credited to your project, equal to 10% of the purchase price.  If you are purchasing with Cash or a Credit Card you may not be able to obtain the discount.  Purchase orders are encouraged.

Hancock Lumber

Hancock Lumber offers the College a 10% discount on purchases by presenting their current Bowdoin Photo ID and asking for the discount. The 10% discount is valid on normal daily cash prices. Special promotions, sale items, negotiated prices, close out items, and special orders may not be eligible for the discount.

Grainger
