Create & Use a Department or Shared E-Mail Account

Many departments at Bowdoin set up departmental email accounts so that the department, rather than a specific individual, can send e-mails (e.g., webmaster, admissions, alumni). Any user with access to the account, can log into the account, and send and view e-mail to and from that account.

If your department needs a new department or shared e-mail account, please contact the Help Desk at ext. 3030 or submit a ticket online and provide the following information:

  • The name for the e-mail account (example: department@bowdoin.edu)
  • The name of the person/people who will have use this e-mail account.

Once the e-mail account has been created, authorized people can use the shared e-mail account from various e-mail clients: Outlook 2010, Outlook 2013, Outlook 2011 (Mac) and Webmail.

Outlook 2010 and 2013

  1. Open Outlook
  2. Click on the "File" tab
  3. Click "Info" on the left and then "Account Settings" on the right
  4. Choose "Account Settings" again from the drop down.
  5. Double-click on "Microsoft Exchange"
  6. Click "More Settings..." button on the lower right
  7. Click on the Advanced tab.
  8. On the right of the mailboxes section, Click on the "Add..." button
  9. Type in the name of the account, (e.g., "it").  Click OK
  10. Click OK on the "Microsoft Exchange" window
  11. Click Next> on the "Email Accounts" window and then click Finish.
  12. Click the Close button on the "Account Settings" window.
  13. When you return to Outlook, you will notice that the mailbox for the shared account has been added to the list of folders on the left.

Note: if you open the shared account and receive an error, close Outlook and reopen.

Outlook 2011 for Macintosh

  1. Open Outlook
  2. Click on the Tools menu > Accounts
  3. Click on the Advanced button
  4. Click on Delegates
  5. Click on the + sign under "People I am a delegate for"
  6. Type the name for the account and click Find
  7. Select the shared account from the list and click on OK.
  8. Click OK
  9. Close the Accounts window.
  10. When you return to Outlook, you will notice that the mailbox for the shared account has been added to the list of folders on the left.

Note: if you open the shared account and receive an error, close Outlook and reopen.

Webmail

  1. Open your web browser and go to Webmail
  2. Log in to Webmail with your Bowdoin username and password.
  3. Click on the down arrow in the top right corner of the Webmail window, next to your name.
  4. Select Open Other Mailbox
  5. Type in the name of the calendar or email account you want to use in the Select mailbox: box. Click Open... to view the email/calendar account.
  6. To switch back and forth between personal and shared accounts, repeat steps 3-5.
