Using Entourage Mail

To open Entourage, select from the Finder, Go > Applications > Microsoft Office 2004 > Microsoft Entourage .

To work with e-mail, make sure you are in the Mail section of Entourage. Click on the Mail section button in the upper left corner of your Entourage window.mail icon

1. Receiving, Reading and Sorting your E-mail

All e-mail messages will appear in your Inbox. Your Inbox is the first item listed in your folder list on the left side of Entourage. When you click on the Inbox, the e-mail messages inside it will list in the View Pane to the right. All e-mail messages can be sorted by date, subject, sender and a variety of other categories.

To receive new mail, click on the Send & Receive button send and receive in the Entourage toolbar at the top of the window. New e-mail messages will appear in your Inbox.

To change how your e-mail is sorted in your inbox, select the View > Arrange by menu and select the field you want to sort by. At the top of the Inbox, you'll see that the field you selected now has a triangle icon triange next to it. If you click on that icon, you can reverse the sort order from ascending to descending or vice-versa.



2. Arranging your E-Mail Window

If you want to preview your mail without opening the message in a separate window, turn on the "Preview Pane".

To do this, click on View > Preview Pane > On Right or Below List .

Entourage also allows you to enlarge the sub parts of its window (panes) by clicking and dragging on the borders between the panes.



3. Replying to a message:

Select (click on) the message in the Inbox that you want to reply to.

To reply to the sender only, click on the Reply icon reply button in the toolbar.

To reply to the sender and all other recipients of the message, click on the Reply All icon reply all in the toolbar.

Enter your reply text in the message part of the e-mail and click the Send Now send now icon in the toolbar.



4. Creating a New E-mail Message:

Click on the New Message icon new message from the Entourage toolbar.

A new Untitled message window will appear. The To:/Cc:/Bcc: box will appear on top of the message.

In the To... field, type the e-mail address of the recipient. If you are sending a message to more than one person, type the second address into the second address line. Once you have entered all the addresses, press the Return key.

In the Subject: field, type the subject matter of the message.

Type your message in the white area below the Subject: line.

To send the e-mail, click on the Send Now icon sendnow on the e-mail message toolbar.



5. Attaching a File to an E-mail message:

Create a new e-mail message and type in the To:, Subject: and message as you normally would.

Click on the Add Attachments icon attach file on the e-mail toolbar.

A Choose Attachment window will appear. Navigate to the file you want to attach and double click on it. The window will close and an Attachments: field will appear below the Subject: line, with the name of the file.

Send the e-mail as you normally would.



6. Spell Checking your E-Mail messages:

To automatically check spelling of your messages before they are sent, choose, Entourage > Preferences .

On the left pane of the Preferences window, under General Preferences, select Spelling .

If you check the "Check spelling as you type " option, Entourage will underline in red any words that are not in its dictionary.

If you check the "Always check spelling before queuing outgoing messages", when you click on the Send Now button for the message, the Entourage spell checker will prompt you on misspelled words and offer you suggestions which you can accept or ignore.

Check any spelling preferences that you have and then click the OK button.

7. Creating a Signature in Entourage:

  • Choose Tools > Signatures
  • At the Signatures window, click on the New icon in the toolbar.
  • In the Name: field, type in the name for the signature.
  • In the white area where the cursor is blinking, type in your signature.
  • Use the formatting tools in the toolbar to change the font, size, style and color of your signature. (*for formatting options to apply in your e-mail, choose Entourage > Preferences. Under Mail & News Preferences, select Compose. Next to Mail format:, select HTML. Click OK.)

  • Click on the close window (red X) icon in the top left of the window and at the prompt, Save changes.
  • The new signature will now appear in the list (and can be edited at a future date by clicking on the Edit icon in the toolbar).
  • Close the Signatures window.
  • Now choose Tools > Accounts
  • Select your e-mail account (e.g., "Bowdoin e-mail (Exchange)")
  • Click on the Edit button in the Accounts toolbar.
  • In the Edit Account window, click on the Options tab.
  • Under Message Options/Default signature:, select the signature you just created from the pulldown menu.
  • Click OK, and close the Accounts windows.
  • All subsequent e-mail messages that you create in Entourage will include your signature at the end of the message.


8. Searching your E-mail:

In Entourage, you can search through your e-mail to find specific messages that meet specific criteria, e.g., sent to or from a specific person, about a specific topic, sent on a certain date, etc. You can search within a single item, within a folder, or from all your e-mail.

To search for text in a message:

  • Open the message you want to search.
  • Choose Edit > Find...
  • In the Find box, type the word or phrase you want to find.
  • Check the Current item option.
  • Click Find.

To search for messages that contain specific text:

  • Choose Edit > Find
  • In the Find box, type the text contained in the item you want to find.
  • From the pull down menu, you can choose to search just from messages (e-mail) or from other types of information.
  • Check the Search "Inbox "only if the items are not in other folders.
  • Check the Search subjects, titles, and names only unless you want Entourage to also search within the body of the message.
  • Click Find.
  • A Search Results window will appear with all items that meet your search criteria.

For more advanced search functions, choose Edit > Advanced Find.

You can also perform a quick search through the Quick Search Tool in the upper right of the Entourage Mail window. To clear the results, click on the Clear icon on the far right.

9. Deleting an E-mail message:

Select (click on ) the message you want to delete in the Inbox.

Click on the Delete icon delete mail icon in the toolbar.

10. Marking E-mails for Follow-Up:

Click on the e-mail message.

From the 'Message' menu, click 'Flag for Follow-up'.

Entourage will automatically create a task, where you can set a reminder.

11. Working with Folders:

Folders help you organize your e-mail messages. Some folders are automatically created for you in Entourage, (e.g., Inbox, Sent Items, Junk E-Mail, etc.), the others you must create yourself.

Creating Folders:

  • Click inside the folder list (left side of Entourage window)
  • Click on the arrow to the right of the New button in the toolbar and select Folder...
  • In the Name: field, type in a name for your folder.
  • If you want the new folder to be at the top level of folders, click on the Bowdoin e-mail icon from the list of folders. Click OK.
  • If you want the new folder to be inside an existing folder, click on that folder. Click OK.

Moving messages to a folder:

  • Click on the message that you want to move, (from your list of e-mail messages)and drag it on top of the folder in the folder list. Once it is copied into the folder, it will disappear from where you copied it.

Viewing messages in your folder:

  • Click on the folder name in the folder list.
  • All mail messages will list in the View Pane and can be processed there.
