Microsoft Entourage 2004 - Calendar

To open Entourage, select Go> Applications > Microsoft Office 2004 > Microsoft Entourage 2004.

To work with the Calendar, make sure you are in the Calendar section of Entourage. Click on the Calendar sectionbutton button in the left navigation pane.

1. Arranging Your Calendar Work Space

To change your Calendar view, go to the Toolbar.

Select from today work week week

Click Day to view a single day
Click Work Week to see the days you work (Work Week can be changed in Calendar Preferences )
You may also change the view to Week and Month.
To return to today's schedule click on View Date .

To increase or decrease the size of your calendar
Move the mouse to the left border of the calendar.
Click on the two parallel lines boarderand while holding down on the mouse button, drag the border to the left or the right.

To move to the previous or next set of dates
Click on the Left and Right Arrows view arrows. The arrows are located above your calendar.

2. Setting Calendar Preferences

From the "Entourage" drop down menu select Preferences...

The "Preferences" window will pop up.
Click cal pref.

The calendar section allows you to change the days displayed in your work week. Other options include, changing the times at which you begin and end your work day and what day is displayed as the "First day of week".
Once your options have been changed click OK .

3. Scheduling a New Calendar Event

Select the new button from the Toolbar.
An "Untitled" event window will pop up.

Fill in the Subject field to give your event a title.
Click on the small calendar icons date iconto choose Start and End dates.
Click into the time fields to give your event a "Starting Time" and "Ending Time".
You may also choose to fill in a location for the event and information about it in the text box.

Click on save
Close the window by clicking on the Red Circle close
The new appointment will now show up on the calendar.

4. Scheduling Recurring Events

Create a New Calendar Event
Or open an existing meeting by double clicking on the calendar event

In the Event window
Click on the Occur:recurrence drop down menu.


Select the frequency of recurrence.
An "Edit..." button will appear near the recurrence drop down menu.
Click the Edit button.recurrence option
The "Recurring Event" window will pop up.

In the "Recurring Event" window you can set a more precise frequency of recurrence under the "Recurrence Pattern" section.
In the "Start and End" section you can choose to give your recurring event an ending date.
When you are done Click OK.


Click save

5. Categorize (coloring) Events

You can categorize events by color and type.
Click the event on your Calendar.

From the toolbar click on the Categories buttoncategories.
The "Assign Categories" window will pop up.

Check the box next to the category and click OK.
The event will now have a color and category type in your calendar.

You can also categorize an event while creating it.
In the "Untitled" event window, Click on the Categoriescategories button in the Toolbar and select a category/color.

Click save

6. Deleting an Event

Click the event in the calendar pane
Once the event is selected, click the Delete button delete in the Toolbar.
A window will pop up.
Click Delete.

7. Scheduling Group Meetings

1. A group meeting is an event that includes other participants.

2. Create a New Calendar Event
OR open an existing event by Double Clicking it on your calendar.

In the event window click on the invite invite button on the Toolbar.
The invite window will pop up.
Type the name into the To: field. As you type, a drop down menu will appear.

Click on the name in the drop down menu.
The name will be added to the To: field.

Click the add button to repeat your search until all individuals are listed in the To: field.

Click anywhere on the event window (the Text box is a safe place to click) to shrink the Invite window.

If all your Meeting information is complete, click Send Now .
All Attendees will receive an e-mail inviting them to the meeting.

8. Responding to a Meeting Request

Meeting requests will show up in your inbox with the following icon email icon.
To respond to the request, open the e-mail by Double Clicking on it.

NOTE: If a request is closed without response, then it is placed as Tentative in your calendar. Tentative events generally do not have reminders and the requester will not be informed that you will attend.

You can identify Tentative events because they have a lighter border than accepted events.


If you had previously responded to a meeting request as Tentative, you can change it to an Accept.
Double Click the email that originally invited you to the event.
The email window will pop up.
Click Accept.

9. Sharing Your Calendars with Others

Locate your work calendar in the Folder Pane.

Hold down the Control key on your keyboard and Click on your calendar iconcalendar icon.
A drop down menu will appear. Go down the list and click on Sharing.

The "Folders Properties: Calendar" window will pop up.
Click on Add User...

The "Select User " Window will pop up.
Type the name of the person into the top field and click Find.

Click on the correct name from the list and click OK.

The name of the person will appear in the "Folder Properties" Window.
Click in the Permission Level: drop down menu to select the appropriate level of permission.

It is common to set the permission level to Reviewer. A person with Reviewer permission level is allowed to read your calendar, but they cannot edit your information in any way.

Click OK.

10. Viewing a Shared Calendar

To View a shared calendar for the first time
Click on the File drop down menu and select Open Other User's Folder...

The "Open Other User's Folder" will pop up.
Click on the Find User icon find user icon.
The "Select User" window will pop up.
Type the name of the person into the top field and click Find.

Click on the correct name from the list and click OK.
The name will now appear in the "Open Other User's Folder" window.

The shared calendar will now appear in the Mail Folder pane.

Click on the Calendar icon icon to return to Calendar mode.
