Campus Scheduling

The Office of Events and Summer Programs manages the scheduling and booking of reservations for most of the facilities on campus. 

Booking campus facilities for Bowdoin events

To request the use of a campus space, please complete the online form: Campus Scheduling Reservation Form.  If you need additional information or have any questions, please contact the Campus Scheduler at 207-725-3421 or scheduling@bowdoin.edu.

Some spaces on campus require special permission before they can be booked with the Campus Scheduler.  Please refer to the official list of Clearance Spaces as your space may be one of them.

Space requests for non-Bowdoin events

To request the use of campus facilities for a non-Bowdoin group, please contact our office directly at 207-725-3307 or sumprogs@bowdoin.edu. Our staff can provide you with details on availability, rates, and services provided. Due to the primary use of facilities on campus by Bowdoin's students, faculty and staff, many rooms are not available while classes are in session. In general, we do not schedule many, if any, external events during the months of September, October, late-April and May each year because of the many academic events which occur at these times.

Promotion via the Bowdoin Event Calendar

For events booked by the Campus Scheduler
 Once you receive your scheduling confirmation sheet you will be able to list your event on Bowdoin's public calendar using the Promotion Tool. This tool allows all Bowdoin users the ability to add an event description, photo, and other important event details.

For all other events
Submit your event to be included on Bowdoin's public calendar with the Event Calendar Submission Form.


Audio-Visual Services

If you need any type of audio-visual services for your event, please contact AV Services at 207-725-3612, or complete an A/V request form after receiving your confirmation.

Dining Services

If you need any type of catering for your event, please contact Dining Services at 725-3181 after receiving your confirmation.

Facilities

If you have any set up requests (tables, chairs, etc) for your event, please contact the Campus Scheduler at scheduling@bowdoin.edu or 725-3421.
